Executive Assistant

As an Executive Assistant at Sharkmob, you will act as a key operational partner to our senior leadership team. This role goes beyond traditional administrative support, you will help drive alignment, improve communication flow, and enable leaders to operate at their highest level.

This role involves regular interaction with international partners, including stakeholders where Mandarin is a key working language. Professional proficiency in Mandarin is therefore important to support communication, coordination and relationship-building.

As an Executive Assistant, you will support the senior management team of Sharkmob and report to the Product Development Director. You will work closely with the project organization, studio management and operations, as well as partners, to facilitate communication, organize meetings, create documentation, and promote alignment across executive teams. You will play a critical role in ensuring priorities are clear, communication is effective, and important initiatives move forward.

The successful candidate for this role will need to be highly organized and bring energy, attention to detail, and creative problem-solving to their work. We are looking for someone who is comfortable navigating reprioritization, scenarios where not all information is complete, and protecting the bandwith of the executives you support. Since you will be exposed to sensitive and confidential information including company direction, IP and partnerships, you will need to exercise a high level of discretion.

Job specifics

• Assist the Product Development Director in their day-to-day activities.

• Aid communication within the Sharkmob Management Team and with key external partners, including our owners and publisher.

• Create and compile project documentation.

• Arrange internal and external meetings, including preparing agenda and materials, note-taking and following up on actions.

• Support the organization of internal events and external delegation visits.

• Coordinate independently on topics internally and externally.

Requirements

• Strong communication skills, with excellent written and spoken English and professional proficiency in Mandarin.

• Excel in managing relationships with multiple stakeholders in all levels of a business.

• Demonstrate the highest level of discretion and integrity.

• At least 5 years experience within a international business organization, preferably within video games, media, or creative industries.

• At least 5 years experience supporting in an executive assistant or personal assistant (PA) role.

• Highly proficient in Microsoft Office and SharePoint.

• Experience working with the Atlassian suite (Jira, Confluence or similar tools).

• A driven and self-motivated personality.

• Highly organized and structured with project management experience.

Bonus skills

• Swedish language skills and experience working within a Swedish company.

• Experience in other functions within a business (HR, Administration, IT, Communication etc).
